TERMS AND CONDITIONS
“In-house Lawyers (ILANZ)” or “We” or “Us” means ILANZ 2024 Conference
“Conference” means the ILANZ 2024 Conference to be held on 21 - 23 MAY 2024 at the Marlborough Events Centre, Blenheim.
IMPORTANT: If you are completing this form on behalf of a group, you confirm that each delegate has authorised you to disclose their personal details to OnCue and ILANZ and that you have made them aware of how their personal information may be used as set out in the privacy statement. You also accept the terms and conditions on behalf of all delegates in the group.
CONFIRMATION AND PAYMENT:
- You will receive a confirmation email with your details after you’ve completed the registration process.
- Please check your details carefully and notifyus immediately with any amendments or additional details you may have omitted.
- If you have paid by credit card, your receipt will be attached to the confirmation email.
- If you have requested an invoice, you will receive a receipt within 5 business days of payment.
Admission to the Conference will not be granted unless the Conference fee payment has been received in full.
Please note that the conference fee does not include any travel or accommodation expenses to attend which you must arrange independently. It is recommended that you arrange travel and medical insurance and ensure the policy covers cancellation of your attendance at the Conference, travel expenses and medical expenses, including any repatriation expenses, and any other Conference-related losses such as injury, damage to property or persons occurring during the Conference.
ILANZ MEMBER REGISTRATION RATE:
The ILANZ Member registration rate is available for current ILANZ Members only. To be eligible for this rate, you must be an ILANZ Member and hold a current practising certificate designating in-house lawyer as your mode of practice. Your mode of practice and ILANZ Membership are selected in sections 12(b) and 12(c) of the Practising Certificate application form. If you are unsure about whether you are an ILANZ Member, please contact [email protected] before proceeding with this registration option. If any delegate under your booking is registered at the ILANZ Member registration rate when they are not an ILANZ Member, we may invoice you an additional amount for each such delegate so that the total paid for their Conference registration is equal to the Non-Member registration rate. You must pay any such additional invoices within 10 business days after receiving the invoice, or prior to the start of the Conference if earlier.
CANCELLATION POLICY:
If your circumstances change and you can no longer attend the Conference or Gala Dinner, you may cancel your Conference registration by providing email notice to: [email protected].
Our Conference registration fee and Gala Dinner ticket refund policy is as follows:
- Cancellation 21 days or more before the Conference date: 50% refund of the Conference fee and/or Gala Dinner ticket
- Cancellation less than 21 days before the Conference date: no refund.
In the event that you cancel your Conference registration and/or Gala Dinner ticket, we will provide the refund of the Conference fee and/or the Gala Dinner ticket to you (if any) within 20 days of receipt of your cancellation notice.
Please note that cancelling your Conference registration does not automatically cancel your accommodation and travel arrangements. You will be responsible for cancelling your travel and accommodation reservations and for any costs or losses which arise or are incurred as a result of the cancellations.
SUBSTITUTIONS:
Attendee substitutions are permitted without any fee or penalty. Substitutions must be notified in writing to: [email protected] as soon as possible. Substitutions for events may not be possible, but please check with us.
CONFERENCE IDS:
Conference-issued name badges and lanyards must be worn while attending the Conference. If you fail to wear your conference name badge and lanyard during the Conference activities, our representatives may refuse to admit you or remove you from the Conference.
AUDIO AND VIDEO RECORDING:
Audio or video recording of all or any part of the Conference without express permission from ILANZ is not permitted. Any person found recording without permission will be removed from the Conference.
PHOTOGRAPHY:
Photographs will be taken throughout the Conference. If you attend the Conference you may appear in these photographs. You agree that ILANZ may use any such photographs for ILANZ marketing, promotional or other business purposes, such as ILANZ’s communication channels including social media pages.
EXHIBITORS & SPONSORS:
Sponsors or exhibitors at the Conference may ask you to scan the QR code to capture your contact details. You may be asked separately to provide your contact details to exhibitors or sponsors at the Conference, which will be completely optional. Please note that if you do provide your contact details to exhibitors and/or sponsors during Conference, you are opting-in to receiving communications from that organisation and you will be subject to its communications and privacy policy and must opt-out with the organisation directly.
This is separate from ILANZ disclosing your name, position and organisation details to Conference sponsors and exhibitors at the time you register for conference. ILANZ will disclose these details unless you have indicated on the registration form that you do NOT agree to this disclosure.
EXPECTATIONS:
We reserve the right, in our sole discretion and without any obligation to refund the Conference fee, to refuse admittance to or remove from the Conference anyone that we determine is behaving in a manner that could be disruptive to the Conference, the presenters or any other attendee, or whose actions are deemed to have brought the image or reputation of ILANZ or the Conference into disrepute. This may include posts on social media.
This event is hosted by ILANZ as a Section of the New Zealand Law Society. Attendees will comply with ILANZ/the Law Society’s directions at this event.
PRESENTERS:
It may be necessary for reasons beyond our reasonable control to alter the advertised content or to add, replace or substitute advertised presenters. We reserve the right to do this at any time without any obligation or liability to refund any part of the Conference fee.
PRESENTER VIEWS:
The views or opinions expressed by any Conference attendee, presenter, speaker, exhibitor or sponsor are not necessarily those of ILANZ. All Conference attendees, presenters, speakers, exhibitors and sponsors are solely responsible for the content of any and all presentations, advertising and online content.
CANCELLATION, POSTPONEMENT OR CHANGE IN FORMAT OF CONFERENCE:
Force Majeure: ILANZ shall not be responsible for any delay or failure in performance of its obligations in connection with the Conference to the extent such delay or failure is caused by events beyond its reasonable control, such as fire, flood, industrial disturbances, government orders, pandemic, acts of God, acts of terrorism, the availability of the venue or other similar causes which do not arise from any fault on the part of ILANZ or its subcontractors. If any such events occur, ILANZ may as its sole discretion, elect to;
- cancel the Conference upon providing written notice to all registered attendees, in which case ILANZ will provide a refund of the Conference fee paid, less any expenses that need to be deducted for ILANZ expenses which have already been incurred; or
- run the Conference in an online and On-Demand format only, in which case ILANZ will provide the necessary details to enable you and other attendees to register and participate in the Conference virtually; or
- postpone the Conference to an alternate date.
Please note:
By registering for the Conference, you acknowledge and accept the possibility of the Conference being moved to an online format and also accept that this will not be valid grounds for requesting a refund of your Conference fee or any other fees, expenses or losses which you may incur as a result of such change. Your registration will be valid for both formats of the Conference.
Notwithstanding any other term of this Agreement, you and ILANZ agree and acknowledge that cancellation of the Conference pursuant to a Force Majeure Event will not constitute impossibility of performance or frustration of the agreement between us in connection with the Conference and that in such circumstances, the terms of this section will apply instead of Subpart 4 of the Contract and Commercial Law Act 2017.
In the event the Conference is cancelled or postponed by ILANZ for Force Majeure Event reasons, ILANZ shall not under any circumstances be liable to attendees for any damages, costs or losses incurred in connection with the Conference such as transportation costs, accommodation costs or any other forms of financial loss.
ACKNOWLEDGEMENTS:
ILANZ is a Section of the New Zealand Law Society and any reference to ILANZ is deemed to also be a reference to the New Zealand Law Society.
Consumer Guarantees Act 1993: As between ILANZ and each attendee, we acknowledge and confirm that we are each “in trade” for the purposes of organising and attending the Conference and to the extent permitted by law, it is fair and reasonable that we contract out of any applicable warranty provisions in the Consumer Guarantees Act 1993 and the Fair Trading Act 1986.
Governing Law: New Zealand will govern these terms and conditions.
PRIVACY STATEMENT:
Registration and other Conference information is collected by OnCue Conferences & Events Limited (OnCue) on behalf of ILANZ. Collection of information is via the registration form and the Conference app. Photographs will also be taken throughout the Conference and you may appear in these photographs.
The personal information collected will be used for purposes related to your attendance at the Conference including registering your attendance at social events, processing payments, producing name tags, and booking your accommodation (if you have requested OnCue to book your accommodation).
ILANZ may also use the information for sending its members information about membership matters, seeking feedback on the Conference and section issues, and for planning and research purposes. Photographs taken at the Conference may be used for ILANZ marketing, promotional or other business purposes.
CONFERENCE APP:
The Conference app is provided by OnCue. The Conference app allows delegates to get the most out of their conference experience and features:
• The full Conference programme for sessions and speakers
• Bookmarks that delegates can use to plan out their day
• Venue details with maps
• Exhibitor directory
• Conference news and last-minute notices
Unless you opt out, your name and organisation will be included in the Conference app. Delegates using the Conference app can choose to add more information like a photo, bio, social media handles and contact details, if they wish.
If you request OnCue to organise your accommodation, your name and contact details will be disclosed to the relevant accommodation provider.
ILANZ will disclose your name, position and organisation to Conference sponsors and exhibitors unless you have indicated on the registration form that you do not agree to that disclosure. Please note that sponsors and exhibitors may ask you directly for personal information at the Conference. This collection is outside any collection of information by ILANZ.
ILANZ will not share your details with any other third parties except as indicated in the registration form where you have authorised that disclosure or it is otherwise permitted by law.
You have the right to request access to and correction of the personal information held about you. No fee will be charged for updating and correcting member information.
