1. TERMS AND CONDITIONS
Conference means the ILANZ 2025 Conference to be held on 7 - 9 MAY 2025 at the Viaduct Events Centre, Wynyard Quarter, Auckland.
Conference Fee means the applicable registration fee for the Conference.
Delegate means an individual registered attendee at the Conference.
ILANZ or “We” or “Us” means In-house Lawyers Association of New Zealand, a section of the Law Society.
ILANZ Member means a Law Society member who has joined ILANZ.
In-house Lawyer means an individual who holds a current practising certificate and is engaged as an inhouse lawyer (see Chapter 15 of the Lawyers and Conveyancers Act (Lawyers: Conduct and Client Care) Rules 2008 for further detail on inhouse lawyers)
Law Society means New Zealand Law Society Te Kāhui Ture o Aotearoa.
Law Society Member means a full member of the Law Society but does not include an honorary member or an Associate Member.
- CONFIRMATION AND PAYMENT:
- You will receive a confirmation email with your details shortly after you’ve completed the registration process.
- Please check your details carefully and notify us immediately with any amendments or additional details you may have omitted.
- If you have paid by credit card, your receipt will be attached to the confirmation email.
- If you have requested an invoice, you will receive an invoice within 5 business days of payment.
- Admission to the Conference will not be granted unless the Conference Fee payment has been received in full.
Please note that the Conference Fee does not include any travel or accommodation expenses to attend which you must arrange independently. It is recommended that you arrange travel and medical insurance and ensure the policy covers cancellation of your attendance at the Conference, travel expenses and medical expenses, including any repatriation expenses, and any other Conference-related losses such as injury, damage to property or persons occurring during the Conference.
2. CONFERENCE FEE:
We have tiered Conference Fee pricing applicable to Law Society Members or ILANZ Members or In-house Lawyers as specified on the registration page.
To be eligible for the ILANZ membership rate as your Conference Fee, you must be a Law Society Member and an ILANZ Member. Note that to become an ILANZ Member you must hold a current practising certificate and be engaged as an inhouse lawyer (see Chapter 15 of the Lawyers and Conveyancers Act (Lawyers: Conduct and Client Care) Rules 2008 for further detail on inhouse lawyers). If you or any Delegate under your booking is registered at a Conference Fee rate applicable to a particular group and they are not a Law Society Member, or an ILANZ Member, or an In-house Lawyer, as applicable, we will invoice you an additional amount for each such Delegate so that the total paid for their Conference Fee is equal to the applicable registration rate.
Such invoice is to be paid within 5 business days after receiving the invoice, or prior to the start of the Conference if earlier. The Delegate’s registration is not confirmed until the correct Conference Fee for the particular registration has been paid in full.
3. SUBSTITUTIONS:
Delegate substitutions are permitted. Substitutions must be notified in writing to: [email protected] as soon as possible. Substitutions for the Gala Dinner may not be possible, but please check with us. Note that we may not be able to accommodate changes in dietary requirements on account of such Delegate substitution.
Clause 3 applies to any Delegate substitutions and additional payment may be required to confirm the registration as a substitute Delegate.
4. CANCELLATION POLICY:
If your circumstances change and you can no longer attend the Conference, you may cancel your Conference registration by providing email notice to: [email protected].
Our Conference Fee ticket refund policy is as follows:
- Cancellation 21 days or more before the Conference date: 50% refund of the Conference Fee ticket
- Cancellation less than 21 days before the Conference date: no refund.
In the event that you cancel your Conference registration, we will provide the refund of the Conference Fee within 30 days of receipt of your cancellation notice.
Please note that cancelling your Conference registration does not automatically cancel your accommodation and travel arrangements. You will be responsible for cancelling your travel and accommodation reservations and for any costs or losses which arise or are incurred as a result of the cancellations.
5. CONFERENCE IDS:
Conference-issued name badges and lanyards must be worn while attending the Conference. If you fail to wear your conference name badge and lanyard during the Conference activities, our representatives may refuse to admit you or remove you from the Conference.
6. AUDIO AND VIDEO RECORDING:
Audio or video recording of all or any part of the Conference without express permission from ILANZ is not permitted. Any person found recording without permission will be removed from the Conference.
7. PHOTOGRAPHY/ VIDEOGRAPHY:
We may have a photographer / videographer present at the Conference. A selection of these images / recordings may be made available for attendees to view after the event and some may be used in Law Society or ILANZ publications e.g. ILANZ Insider, Law Society LawTalk and social media pages. If you do not wish to have your photograph or video taken or included in any publications or social media posts, please let staff and the photographer / videographer know at the event.
8. EXHIBITORS & SPONSORS:
Sponsors and exhibitors at the Conference may ask you to scan their QR code or otherwise ask you for contact details. In each case, they are capturing your personal information. The collection of information by sponsors and exhibitors is outside any collection of information by ILANZ and the provision of information by you to them is optional. Please note that if you do provide your details to sponsors or exhibitors during the Conference, the exhibitors/sponsors privacy policy will apply and your information may be used by them for marketing, promotional and other business purposes. This is separate from ILANZ disclosing your name and organisation details to the Conference sponsors and exhibitors at the time you register for the Conference. ILANZ will disclose these details to Conference sponsors and exhibitors unless you have indicated on the registration form that you do not agree to that disclosure.
9. EXPECTATIONS:
We reserve the right, in our sole discretion, and without any obligation to refund the Conference Fee, to refuse admittance to and /or remove from the Conference anyone that we determine is behaving in a manner that could be disruptive to the Conference, the presenters or any other delegate, or whose actions are deemed to have brought the image or reputation of ILANZ or the Conference into disrepute. This may include posts on social media.
This event is hosted by ILANZ as a Section of the Law Society. Delegates will comply with ILANZ/the Law Society’s directions at this event.
10. PRESENTERS:
It may be necessary for reasons beyond our reasonable control to alter the advertised content or to add, replace or substitute advertised presenters. We reserve the right to do this at any time without any obligation or liability to refund any part of the Conference Fee.
11. PRESENTER VIEWS:
The views or opinions expressed by any Conference delegate, presenter, speaker, exhibitor or sponsor are not necessarily those of ILANZ. All Conference presenters, speakers, exhibitors and sponsors are solely responsible for the content of any and all presentations, advertising and online content.
12. CANCELLATION, POSTPONEMENT OR CHANGE IN FORMAT OF CONFERENCE:
Force Majeure: ILANZ shall not be responsible for any delay or failure in performance of its obligations in connection with the Conference to the extent such delay or failure is caused by events beyond its reasonable control, such as fire, flood, industrial disturbances, government orders, pandemic, acts of God, acts of terrorism, the availability of the venue or other similar causes which do not arise from any fault on the part of ILANZ or its subcontractors. If any such events occur, ILANZ may as its sole discretion, elect to;
- cancel the Conference upon providing written notice to all registered delegates, in which case ILANZ will provide a refund of the Conference Fee paid, less any expenses that need to be deducted for ILANZ expenses which have already been incurred; or
- run the Conference in an online and On-Demand format only, in which case ILANZ will provide the necessary details to enable you and other delegates to register and participate in the Conference virtually; or
- postpone the Conference to an alternate date on terms satisfactory to ILANZ.
Please note:
By registering for the Conference, you acknowledge and accept the possibility of the Conference being moved to an online format and also accept that this will not be valid grounds for requesting a refund of your Conference Fee or any other fees, expenses or losses which you may incur as a result of such change. Your registration will be valid for both formats of the Conference.
Notwithstanding any other term of this Agreement, you and ILANZ agree and acknowledge that cancellation of the Conference pursuant to a Force Majeure Event will not constitute impossibility of performance or frustration of the agreement between us in connection with the Conference and that in such circumstances, the terms of this section will apply instead of Subpart 4 of the Contract and Commercial Law Act 2017.
In the event the Conference is cancelled or postponed by ILANZ for Force Majeure Event reasons, ILANZ shall not under any circumstances be liable to delegates for any damages, costs or losses incurred in connection with the Conference such as transportation costs, accommodation costs or any other forms of financial loss.
13. ACKNOWLEDGEMENTS:
ILANZ is a Section of the Law Society and any reference to ILANZ is deemed to also be a reference to the Law Society.
Consumer Guarantees Act 1993: As between ILANZ and each delegate, we acknowledge and confirm that we are each “in trade” for the purposes of organising and attending the Conference and to the extent permitted by law, it is fair and reasonable that we contract out of any applicable warranty provisions in the Consumer Guarantees Act 1993 and the Fair Trading Act 1986.
Governing Law: New Zealand will govern these terms and conditions.
14. PRIVACY STATEMENT:
Registration and other Conference information is collected by OnCue Conferences & Events Limited (OnCue) on behalf of ILANZ. OnCue uses specific third-party service providers who help facilitate the delivery of their services. For further details, please refer to On-Cue’s privacy policy here.
Collection of information is via the registration form and the Conference app. Photographs will also be taken throughout the Conference and you may appear in these photographs. Please refer to the paragraph "Photography" in the terms and conditions.
The personal information collected will be used for purposes relating to your attendance at the Conference including registering your attendance at social events, processing payments and producing name tags.
ILANZ may also use the information for seeking feedback on the Conference, and for planning and research purposes. Photographs taken at the Conference may be used for ILANZ marketing, promotional or other business purposes.
The Conference app is provided by OnCue. The Conference app allows delegates to get the most out of their conference experience and features:
• The full Conference programme for sessions and speakers
• Bookmarks that delegates can use to plan out their day
• Venue details with maps
• Sponsor and exhibitor directory
• Conference news and last-minute notices
Unless you opt out, your name and organisation will be included on the delegates list in the Conference app. Delegates using the Conference app can choose to add more information like a photo, bio, social media handles and contact details, if they wish.
ILANZ will disclose your name and organisation details to Conference sponsors and exhibitors unless you have indicated on the registration form that you do not agree to that disclosure. Please note that sponsors and exhibitors may also ask you directly for personal information. This collection is outside any collection of information by ILANZ. Please refer to the paragraph “Exhibitors and Sponsors” in the terms and conditions. ILANZ will not share your details with any other third parties except as indicated on the registration form, where you have authorised that disclosure, or it is otherwise permitted by law. You have the right to request access to and correction of your personal information. No fee will be charged for updating and correcting your details.
